Litigation Holds
Overview
A litigation hold preserves emails that may be relevant to litigation, investigations, audits, or regulatory requirements. Emails under a litigation hold are kept and are not deleted, even when the archive retention period expires.
Each administrator can mark which emails to add to the Litigation Hold section.
Adding Emails to a Litigation Hold
-
Go to Archiving > Search.
-
In the Archiving Search page, use the search filters to find the required emails.
-
Select the emails to preserve.
-
Click Group Actions > Add to hold.
The Add to Litigation Hold pop-up appears.
-
In the Litigation Hold Name field, enter the required name.
-
In the Comment field, enter the required note or description.
-
Click Save.
If the litigation hold has no end date, emails that match the litigation hold query continue to be added to the hold as they are archived.
Editing a Litigation Hold
Administrators can edit the name of an existing litigation hold. Only the name can be changed; the query and end date of a litigation hold cannot be edited after it is created.
-
Go to Archiving > Litigation Holds.
-
Click the three-dots icon for the litigation hold you want to edit and click Edit.
-
In the Edit Litigation Hold pop-up that appears, update the name of the litigation hold.
-
Click Save.
To apply a different query or end date, create a new litigation hold and, if required, delete the old one. See Deleting a Litigation Hold.
Deleting a Litigation Hold
Administrators can delete a litigation hold that is no longer required.
-
Go to Archiving > Litigation Holds.
-
Click the three-dots icon for the litigation hold you want to delete and click Delete.
-
In the Permanently Delete Litigation Hold? pop-up that appears, click Delete Permanently.
Deleting a litigation hold does not delete the emails that were under the hold. After the hold is deleted, these emails are subject to the standard retention period, and emails older than the retention period are deleted from the archive. Emails that are under another litigation hold remain preserved.
